About the job
To be responsible for overseeing the functioning of the Noatum Logistics ME in order to ensure timely and efficient completion of scheduling and other critical tasks. The role holder will serve as the primary point of contact for distinguished guests of the Noatum Logistics ME office, managing relationships with key external stakeholders and coordinating visits at AD Logistics, as well as assist the CEO of Noatum Logistics Middle East in his daily duties and professional role.


Responsibilities

Act as liaison and maintain open lines of communication among executives, board members, shareholders, middle management and other staff.
Liaise with key visitors to ensure that they are appropriately received and their interactions with the CEO of Noatum Logistics Middle East or other stakeholders at Logistics are coordinated smoothly.
Coordinate visits of distinguished guests and top officials at Logistics by ensuring that the right stakeholders and administrators are notified in a timely manner
Maintain contact with key external stakeholders relevant to Logistics and liaise for information or schedule tasks as and when required.
Oversee and assist the preparation of the weekly appointments chart and monthly calendars in order to ensure that the CEO of Noatum Logistics Middle East key commitments are reflected accurately and updated when required.
Oversee the preparation and timely dissemination of Logistics and slide presentations for board meetings.
Accompany the CEO of Noatum Logistics Middle East on critical meetings as and when required, in order to manage their itinerary and time commitments in an efficient manner. Secure the documentation required for the purpose of the visit and make information available as and when required.
Oversee the incoming correspondence with the CEO office and review content, as required. Ensuring that all such correspondences are prioritized suitably for the subsequent review and revert.
Ensure that quality assurance checks are duly completed on agreements and other documentation received prior to submission to the CEO of Noatum Logistics Middle East for subsequent reference.
Ensure that all matters of importance to the CEO of Noatum Logistics Middle East office are coordinated and responses duly solicited from relevant parties internally as well as externally, in order to secure the required information in a timely manner.
Ensure maintenance of a database of critical stakeholders and their contact details, in order to liaise with the concerned offices for information and scheduling, as required.


Qualifications



Bachelor’s degree in business administration
Written and spoken proficiency in English is essential
Arabic & Spanish is an advantage
5 – 7 years of relevant experience in managing external relationships and accountability for high responsibilities
